We treat your data as private and do not volunteer it to anyone. We will disclose Personal Data to a court, government, regulatory, or law-enforcement authority only where we are legally compelled to do so by a valid, binding, and properly issued legal order or obligation. We may share your information with third parties when we have your explicit consent to do so.

5. Data Controller and Data Processor Roles

Latner.ng acts as a Data Controller for the Personal Data you provide directly to us to create and manage your account and to use our Service (e.g., your registration information).

When Landlords use our Service to manage their properties and tenants, the Landlord is generally the Data Controller for the Personal Data related to their tenants and properties. In this capacity, Latner.ng acts as a Data Processor on behalf of the Landlord, processing such data in accordance with the Landlord's instructions and our Terms and Conditions. Landlords are responsible for ensuring they have a lawful basis for collecting and processing their tenants' Personal Data through our Service.

6. Lawful Basis for Processing (primarily for NDPA compliance)

We will only collect and process your Personal Data where we have a lawful basis to do so. Lawful bases include:

Consent: Where you have given us explicit consent to process your Personal Data for a specific purpose.
Contract: Where processing is necessary for the performance of a contract with you (e.g., to deliver the Latner.ng Service you have signed up for).
Legal Obligation: Where processing is necessary for compliance with a legal obligation to which we are subject.
Legitimate Interests: Where processing is necessary for our legitimate interests (or those of a third party), provided your fundamental rights and freedoms do not override those interests. Our legitimate interests include providing, improving, and securing our Service, and for direct marketing (where permissible).
Vital Interests: Where processing is necessary to protect your life or safety, or that of another person - for example, when handling emergency or panic alerts raised through the Service.
Public Interest: Where processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority, to the extent this applies to us.

7. Data Security

We implement reasonable technical and organizational measures designed to protect the security of your Personal Data from loss, misuse, unauthorized access, disclosure, alteration, and destruction. These measures may include encryption, access controls, and secure software development practices. However, please note that no method of transmission over the Internet or method of electronic storage is 100% secure. Therefore, while we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

8. Data Retention

We will retain your Personal Data for as long as your account is active or as needed to provide you with the Service. We may also retain and use your Personal Data as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. When we no longer need to process your Personal Data for the purposes set out in this Privacy Policy, we will delete or anonymize your Personal Data.

Depending on your location and applicable law, you may have the following rights regarding your Personal Data:

Right to Access: You have the right to request copies of your Personal Data.

Right to Withdraw Consent: If we are processing your Personal Data based on your consent, you have the right to withdraw your consent at any time.
Right to Lodge a Complaint: You have the right to lodge a complaint with a supervisory authority. In Nigeria, this is the Nigeria Data Protection Commission (NDPC).

To exercise any of these rights, please contact us using the contact details provided below. We may need to verify your identity before processing your request.

To delete your account and personal data, sign in and use Delete your account. Deletion is immediate and no member of our staff approves it. If you cannot sign in, our Account deletion request form is an alternative and we will action it for you.

What is kept after deletion: Your name, contact details, password, identity documents and uploads are removed. Records of rent invoiced and paid, tenancies, and repairs raised on a property are kept, because Nigerian tax and accounting law requires it and because they are your landlord's records as much as yours. These no longer carry your name or contact details. Deleting your account does not cancel rent you owe or a tenancy agreement you entered into.

10. International Data Transfers

Our information, including Personal Data, may be transferred to - and maintained on - computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction.
If we transfer your Personal Data outside of Nigeria, we will ensure that appropriate safeguards are in place to protect your Personal Data in accordance with the NDPA and other applicable laws. These safeguards may include adequacy decisions by the relevant authorities or the use of Standard Contractual Clauses.

11. Cookies and Tracking Technologies

We use cookies and similar tracking technologies (like web beacons and pixels) to collect and use Personal Data about you, we do not use cookies to serve interest-based advertising.

What are Cookies? Cookies are small text files placed on your device to store data that can be recalled by a web server in the domain that placed the cookie.
How We Use Cookies: We use cookies to:
Authenticate you and keep you signed in.
Remember your preferences and settings.
Understand how our Service is being used.
Measure the effectiveness of our marketing campaigns.
Your Choices: Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove or reject browser cookies. Please note that if you choose to remove or reject cookies, this could affect the availability and functionality of our Service.

12. Children's Privacy

Our Service is not directed to individuals under the age of 18 ("Children"). We do not knowingly collect Personal Data from Children. If you are a parent or guardian and you are aware that your Child has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from Children without verification of parental consent, we will take steps to remove that information from our servers

13. Mobile App Permissions

Our mobile application may request the following device permissions. Each is optional and requested only when needed for a specific feature; you can decline and, where applicable, provide the information manually.
Contacts: When creating a visitor booking, we may request access to your contacts so you can select a visitor directly from your phonebook. If you select a contact, we collect that contact's name, phone number, and any details you choose to add. This is stored as part of the visit record and used only for that booking. You may instead enter visitor details manually.
Camera and Media Library: To report or describe an issue, you may attach images or video. We request access to your camera and media library for this purpose. Attached media is stored securely and is visible only to the managers or reception team handling your report.
Push Notifications: We process device push-notification tokens to deliver visit, reception, and emergency/panic alerts.
You can grant or revoke these permissions at any time in your device settings; revoking a permission may limit the related features.

14. Data Breach Notification

We maintain procedures to detect, investigate, and respond to security incidents. If we become aware of a breach affecting your Personal Data, we will take reasonable steps to contain and remediate it and to investigate its cause. Where a breach is likely to result in a risk to your rights and freedoms, we will notify the Nigeria Data Protection Commission (NDPC) and affected users within the timeframes required by the NDPA, describing the nature of the breach and the steps we are taking. We will cooperate with regulators and, where appropriate, law-enforcement authorities.

15. Aggregated and De-Identified Data

We may create aggregated, anonymized, or de-identified data from Personal Data (for example, usage statistics and trends) that can no longer reasonably be used to identify you. We may use and share such data for any lawful purpose, including analytics, research, improving the Service, and reporting to partners or investors. Because this data does not identify you, it is not treated as Personal Data under this Privacy Policy.

16. Information You Provide About Others

If you provide us with Personal Data about another person (for example, a tenant, co-occupant, visitor, or emergency contact), you confirm that you are authorized to share it and that you have informed that person and obtained any consent required by applicable law. You are responsible for ensuring your disclosure complies with the NDPA and other applicable laws, and for directing them to this Privacy Policy where appropriate.

17. Recruitment and Job Applicants

If you apply for a role with us, we process the Personal Data in your application (such as your contact details, CV/resume, work history, and any information you provide) to assess your application, communicate with you, and carry out recruitment. We rely on your consent and our legitimate interest in recruiting. We retain applicant data only for as long as necessary for the recruitment process and any legitimate follow-up, unless you ask us to delete it sooner.

18. Opt-Out and Unsubscribe

You can opt out of marketing and promotional communications at any time by using the unsubscribe link in our emails, adjusting your notification preferences in your account, or contacting us at privacy@latner.ng. Even if you opt out of marketing, we may still send you essential service-related messages (such as security alerts, billing notices, and account or visit notifications) that are necessary to operate the Service.

Community announcements, notices, and similar communications within the Service are issued by community management or administrators to residents and users. The Service does not provide public message boards or features through which the content or Personal Data you submit is made visible to other users. 20. Links to Other Websites

Our Service may contain links to other websites that are not operated by us. If you click on a third-party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

21. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date at the top of this Privacy Policy. We may also provide you with notice through the Service or by email.
You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.

22. Visitor Management Data

This section explains how Personal Data is handled when the visitor-management features are used.

Controller and Roles: For visitor and visit data captured through a building or estate, the building owner or operator (and/or their managers) is generally the Data Controller, and Latner.ng acts as a Data Processor on their behalf. The operator is responsible for having a lawful basis to collect visitor Personal Data and for informing visitors how their data is used.
What We Process: Visitor name and phone number, visit type and purpose, the address/origin provided, scheduled and actual visit times, sign-in/sign-out records, the resident/host being visited, community membership, access/daily code usage, and push-notification tokens used to deliver alerts.
Purpose: To create, route, and manage visitor requests and appointments; to allow the correct reception team and managers to verify and process visits; to deliver visit, reception, and emergency/panic notifications; and to maintain visit history for security and record-keeping.
Who Can See It: Visit and visitor data is visible to the resident/host involved, the reception team for the relevant community, and the managers responsible for that building. It is scoped to the community the visit belongs to.
Visitors' Rights: Visitors are Data Subjects and may exercise the rights described in Section 9. As Latner.ng typically processes visitor data on behalf of the building operator, requests may be directed to the operator and/or to us using the contact details below.
Emergency Alerts: The panic/emergency feature sends in-app notifications to reception and managers on a best-effort basis. It is not a monitored emergency service and is not a substitute for contacting official emergency services.
